Every sample sent to Petro-Lube Test Labs is logged into our system according to our ISO documentation and quality control protocols. Sample Submission Forms are an essential part of this documentation process. Samples sent to us without properly completed paperwork may result in delays in scheduling your testing. All samples submitted should be accompanied by a Sample Submission Form, (either our download our Printable Sample Submission Form which can be included with the samples or emailed to us at Labmanager@petrolube.com; or you may use our Online Sample Submission Form, which should be submitted to us prior to shipping of samples).
Please include: test methods, specifications, times and temperatures, or any other information necessary to complete testing as well as complete contact information. If you need help please email Labmanager@petrolube.com or call us at and someone will assist you with this process.
Turnaround times may vary due to current availability of personnel, test equipment, and/or prior commitments in the work schedule. We cannot guarantee turnaround times in every instance, but we promise to do our very best to meet your turnaround time and delivery date requirements.

PACKAGING OF SAMPLES
Unbreakable containers are preferred when possible. If glass containers are used (poly coated recommended) they should be shipped with adequate packaging material to avoid breakage. Double packaging is best. Lids should be firmly sealed and taped. (for example, grease samples should NOT be packaged in plastic bags because they rupture easily). Packages may be returned if the integrity of the sample is damaged during shipping. Materials containing components restricted in the United States will be assessed additional hazardous waste disposal charges. Recommended sample quantities are provided to reduce waste. Excessively large samples will incur a $5.00 per kg handling and disposal fee.
To avoid additional charges and delays due to customs restrictions, a carrier with in-house customs clearance that will deliver directly to our facility is recommended. Material Safety Data Sheets (MSDS) and/or Safety Data Sheets (SDS) and Toxic Substance Control Act forms (TSCA) should be attached to the outside of the package as well as all required paperwork for international shipping. Please check with your carrier to determine what information is required. It is very helpful for you to email us the MSDS/SDS and TSCA forms ahead of your sample shipment so we can help with customs clearance if needed.
METHOD OF PAYMENT
A Method of Payment must accompany all samples submitted. There is accommodation on the Sample Submission Form for this information, unless other arrangements have been made.
Purchase Order: Net 30 days. If you are a new client please supply us with current credit references including contact information. Purchase Orders will be accepted upon credit approval. Purchase Orders are not accepted from companies outside the United States, except where a pre-authorized account has been established. Processing fees may be required for payments that are not made through a U.S. Bank in U.S. Dollars.
Credit Cards: We accept Visa, MasterCard, and American Express. Please submit card holder's name, phone number (or email), type of card and card expiration date to us. You may submit this information by phone, email, or with your samples. For maximum security we suggest you call us and submit credit card numbers by phone.
Wire Transfer: : If you choose to make payments by wire transfer you will be provided with our bank routing information after your documents and samples have arrived. You are responsible for any bank fees associated with your wire transfer payment.
